Stock Audit Meaning: Bank Checklist and Report Format
Last updated: 16 October 2026
Quick Answer: A stock audit checks that stock in the books exists and agrees with a physical count. In bank lending, it is the lender-ordered check of the stock and receivables behind a cash credit limit, covering ownership, condition, valuation and drawing power. Until 31 March 2027, RBI makes it annual for commercial-bank NPAs of ₹5 crore and above.
For a borrowing manufacturer, the stock audit meaning that matters is practical: your lender's auditor tests the security behind your working capital limit, and the report can change what you may draw.
What Does the Bank's Stock Auditor Check?
The auditor asks five questions:
- Existence: is the stock in the latest statement at the declared locations?
- Ownership: is it paid for, with nothing held for others, such as job-work material?
- Condition: is any of it damaged, obsolete or non-moving?
- Valuation: does it follow the sanction terms and AS 2's lower of cost and net realisable value?
- Book debts: do declared receivables agree with the ledger, and how old are they?
What Is a Stock Audit, and How Does It Differ From Other Stock Checks?
Three exercises share the name:
- Bank stock audit: appointed by the lender, limited to its security, reported to the bank.
- Physical verification by management: where CARO 2020 applies, reported on by the statutory auditor under paragraph 3(ii)(a), including how gaps of 10% or more per inventory class were handled. For working capital limits above ₹5 crore in aggregate sanctioned against current assets, paragraph 3(ii)(b) adds whether quarterly statements filed with banks agree with the books.
- Internal audit of stores: a test of receipt, issue and recording controls.
Stock Audit Applicability: When Does a Bank Order One?
When the bank's Board-approved policy or your sanction letter requires one; as on 1 October 2026, RBI sets no single trigger for a performing account. The Himachal Pradesh State Co-operative Bank's published stock audit policy, for example, sets an annual audit for working capital limits of ₹1 crore and above secured mainly on stock and book debts.
Under paragraph 10(5) of RBI's Income Recognition, Asset Classification and Provisioning Directions, 2025, each commercial bank's policy must carry guidelines for appointing external agencies for stock audit. Until 31 March 2027, paragraph 22 makes an annual external stock audit mandatory only for non-performing accounts of ₹5 crore or more. Under paragraph 15, drawing power must rest on a current stock statement, and outstanding computed on one older than three months is deemed irregular, so file the stock statement format your bank prescribes on time.
Because the limit is sized on the CMA report filed with your bank loan proposal, an audit that cuts eligible stock also weakens your next renewal.
Stock Audit Meaning in Practice: What a Borrower Should Expect
The audit runs in seven stages, two before the auditor reaches your gate.
- Branch file review: sanction letter, stock statements, drawing power register, earlier reports.
- Document request: visit-date stock position and trial balance, audited accounts.
- Physical verification: test counts at the plant, godowns and, where material, outside sites, noting the bank name board.
- Reconciliation: count to register, register to ledger, ledger to statement.
- Valuation and debtors: method tested, non-moving items isolated, receivables aged.
- Insurance: cover, locations and the bank clause.
- Report: findings and the auditor's drawing power go to the bank.
Stock Audit Checklist: What to Prepare Before the Visit
Start two to three weeks before the audit.
| Item | Have ready | Why the bank auditor asks |
|---|---|---|
| Sanction letter | Margins, valuation basis, debtor cut-off | Findings are tested against it |
| Stock register and valuation | Item and location quantities tied to the ledger; valuation working and cost sheets | Counts are matched to it; overvaluation inflates drawing power |
| Locations | Every site listed; signed confirmations from job workers and warehouses | Unlisted or unconfirmed stock draws a remark |
| Ineligible stock | Goods held for others, unpaid, non-moving and damaged items listed separately | Excluded or valued down |
| Debtors ageing | Party-wise; related and disputed dues flagged | Old or related dues are usually ineligible |
| Insurance policies | Bank clause, all locations, sum insured | Under-insurance is reported |
| Earlier audit reports | Compliance on each remark | Open remarks are repeated |
Stock Audit Report Format: Sections Banks Ask For
Formats vary by bank; the Himachal Pradesh State Co-operative Bank's policy, for example, lists these sections.
| Section | What the auditor reports | Your check before the visit |
|---|---|---|
| Sanction compliance | Terms met or not | Covenant tracker current |
| Stock statements | Timeliness, adequacy | Figures tie to the books |
| Account operations | Overdrawing, credit summation, cash withdrawals | Sales routed through the lender |
| Drawing power | Bank and auditor figures, with reasons | Recomputed on the visit date |
| Stock and storage | Count, condition, slow and non-moving items | Differences booked, slow stock segregated |
| MIS and controls | Stock records and safeguards | Receipt, issue and gate records current |
| Valuation | Method, frequency, adequacy | Working ties to the books |
| Insurance | Cover and the bank clause | Policies renewed, all locations covered |
| Debtors | Age-wise verification | Ageing reconciled |
| Adverse findings summary | Points for bank action | A written response for each |
Which Remarks Most Often Reach a Stock Audit Report?
The same co-operative bank policy lists obsolete stock left in the statement, customers' job-work material counted as own stock, third-party stock not confirmed or verified, overdue or sister-concern debtors in drawing power, insurance lacking the bank clause or a location, and year-end stock not matching the audited accounts.
